How can I attach supporting document(s) required for my application under the e-Form scenario?

You may simply click the "Attachment" icon
on the toolbar or select the "Attachment" item under the "Tools" pull down menu of the e-Form program. Instructions will be provided to attach any document required for an application.

How can I ensure that my application is protected from the access of unauthorized parties?
A2.
You may encrypt the e-Form using the "encrypt" function of the e-Form program using the embedded encipherment certificate of the target department such that only authorized personnel of the receiving department will be able to decrypt and process your application.
Q3.
Some Chinese characters are not displayed correctly in the e-Form program. Why?
A3.
The font file you are using may not be suitable for the display of Chinese characters in the specific form. To ensure that those Chinese characters can be viewed properly, you can download the font supporting
Hong Kong Supplementary Character Set (HKSCS)
.
If you have already downloaded and installed the font supporting Hong Kong Supplementary Character Set (HKSCS) from the "Download Area" of this Web site for Microsoft Windows environment, you can use the Windows Explorer to locate the "FONTS" sub-folder in the "Windows" folder. Then, right click on the "Fonts" sub-folder to open "Properties" and make sure the "Enable thumbnail view" check-box is checked. Alternatively, you may simply check the check-box and refresh the font list. Please note that you have to restart the e-Form application program to enable the change.

Can I view and print Chinese characters in the e-Form properly under an English Window environment?

Yes, Chinese characters can be viewed and printed properly even under English Window environment as long as an appropriate Chinese font file is installed. However, to best view and print Chinese characters in the e-Form program, users are recommended to download the font supporting
Hong Kong Supplementary Character Set (HKSCS)
available at this Web site.

Are multiple signatures supported in e-Form?

Yes, the e-Form program allows the selection of roles (the respective person by whom a particular section of the e-Form is to be completed) before you start entering application details. In this way, applicants of different roles in an application, e.g. the applicant, the parent / guardian or the endorsing officer, may just choose the appropriate role before completing and signing their parts in the e-Form.

Why is there a validity period for each e-Form?

To protect the application details from unauthorized access, the e-Form program is implemented with an encryption feature. A digital certificate is bundled in the form for the encryption and the certificate is valid for a specific period. Therefore, to safeguard the security of data submitted to departments, a validity period is set for each e-Form.

How can I apply for a digital certificate for digital signing on the e-Form?

At present, applications for digital certificate required can be submitted to
respective recognized Certification Authorit(ies)
in the Hong Kong Special Administrative Region supported by the e-Form program. You may visit the Web site of those Certification Authorit(ies) for details on how to apply for digital certificates.

What will happen if my completed e-Form is inadvertently sent to the wrong department? Will they be able to read my personal information not intended for them?
A8.
If you have encrypted your application with the "encrypt" function provided by the e-Form before sending it out, then only authorized personnel of the target department will be able to read your personal information after decrypting your application with an appropriate key. In this way, even if your application was sent to a wrong department accidentally, your personal information will still be well protected.
